Sports Technology at Sochi 2014 Winter Games

The Sochi 2014 Winter Olympics saw Sports Technology provide audio solutions across 14 venues.

With 70 crew members and only a small but busy project management team, a software system to help manage their workforce was required to ensure crew members were at the right place at the right time.

The Get Scheduled Pro system enabled complex schedules to be created and shared online between all those involved. Instant email and SMS alerts kept crew informed of their shifts and of any changes made, making relocating a crew member a simple task.

With some considerable distance between venues, Get Scheduled allowed the management team to easily view deployment and available crew. A centralised system meant everyone was always looking at the same information in real time.

Get Scheduled Pro also provided the tools for project managers to quickly communicate with crew via email or SMS, either individually or by group, for example all System engineers or all those not working at the present time.

Advanced reporting options simplified daily tasks with automated report settings enabling drivers to be sent pick up sheets at defined points throughout the day. This meant transport was able to collect crew members when required, and exact check in and check out times could be sent to management each night for review.

Get Scheduled’s file sharing capabilities enabled maps and plans to be shared with all crew for easy download via their personal online portal. Advanced sharing options meant only authorised people could see each document, minimising any possible confusion.

Sports Technology saw a significant reduction in administration time needed when creating and communicating schedules, with simple mass shift creation tools and automatic communication options.

Productivity increased thanks to at a glance views of deployment and available crew. Precise check in and check out times meant greater flexibility was possible and easy crew relocation helped to increase productivity significantly.
