European Archery Festival 2014

The European Archery Festival at Telford’s International Centre combined Stage 3 of World Archery’s 2013/14 Indoor World Cup, with an archery trade show and tournament.  The festival was Britain's biggest ever indoor archery event, with 900 competitors from 41 countries competing for part of a £20,000 prize fund.

With a volunteer workforce of 60 and only a small administration team, event organisers Sport:80® required an easy to use and flexible  scheduling and communication solution to help manage the volunteers.

Get Scheduled was selected as the volunteer management software solution to schedule and communicate with the volunteers at the European Archery Festival 2014.

222 shifts were scheduled over 4 days, with 60 volunteers deployed in a variety of roles ranging from car park attendants to competition scoring.   With only a small administration team, an easy way to deliver information to volunteers was paramount.   Automatic email and SMS alerts kept volunteers informed of their scheduled shifts and of any changes made.  This considerably reduced the number of phone calls and emails that were required and queries the team received. Emails and SMS  could also be sent on demand to specific volunteers when required.

Get Scheduled’s online portal, was the place for volunteers to view their personal schedule the latest news and any shared documents.  Ensuring the European Archery Festival 2014 had a fully informed and engaged workforce.

With advanced file sharing options and automatic communications Get Scheduled was able to greatly minimise administration time and ensure a clear delivery of information.

As a cloud based solution, Get Scheduled acted as a single central data base of information, with defined users able to edit information as required, ensuring complete accuracy.

The volunteer portal helped to ensure volunteer engagement in the run up, during and after the event.
